Seminar Youth Mobility: Practical information for officials from Ministries, European Institutions, EYNGOs and National Agency staff
COMPOSITION OF DELEGATIONS
| Ministries for Youth need to compose the delegation of their country (1 ministry representative, 1 youth worker & 1 young person, 1 NA staff - if applicable) and send their names as soon as possible to thierry.dufour@cfwb.be. Each member of the national delegation has to register individually too. |
The Ministry representative or YiA National Agency are in charge of selecting the young person (from vulnerable background or with fewer opportunities) and youth worker of the national delegation. If for any reason this ‘youth delegation’ is not selected by the 30 September 2010 deadline, the organiser reserves the right launch a call for extra participants.
Other European Institutions and European NGOs
European institutions and European NGOs can compose their delegation according to their own wishes, within the number of places granted by the organiser in the official invitation letter.
REGISTRATION
Please register before 15 September 2010
You can register online via this link with the access code provided by the organisers of this seminar. Each person of your delegation will have to register separately. The representatives of the Ministry, National Agency, European Institutions, European youth organisations are asked to select “Ministries, NAs, Institutional Representatives” when registering.
Note: These official representatives from Ministry, European Institutions and NA staff have to book their own hotel too (not the youth worker and young person) – more info below.
Note: However, the organisers will book and pay the hotel for the representatives of European Youth NGOs (EYNGOs)
After you completed your registration, a confirmation will be sent to the email address you provided. You can still make changes to your registration (via the same registration link) at any time until 1 November 2010, with the access details mentioned in the confirmation email.
Don’t forget to register for your workshop choice
The overview of the workshops is also online (.pdf). Please make a first and second choice of the workshop you would like to attend on the registration form. Do this as soon as possible, because we apply a “first come-first served” policy.
WORKING LANGUAGE(S)
- Interpretation into Dutch, French, German and English will be provided during the plenary opening on Friday evening 10 December and for closing plenary session on Saturday afternoon 11 December 2010.
- The working language in all other (workshop) sessions will be English.

Hotel, travel and meals
- Ministry representatives, NA staff and European Institution delegates are kindly requested to book and pay their own hotel accommodation (some hotel suggestions below) – and arrange and pay their own travel.
- The seminar organisers will however book and pay the hotel for the representatives of the European Youth NGOs (EYNGOs). EYNGOs are requested to arrange and pay their own travel.
- The Belgian Presidency covers all lunches and dinners from 10 December lunch till 11 December dinner.
- (The hotel and meals at hotel Leonardo in Wépion, for the young person and youth worker in your national delegation will be paid by the seminar organiser. The Ministry for Youth is however asked to cover their travel costs.)

Travel to and from Belgium & Namur
Before booking your travel, think about your ecological footprint…
- Belgium (Brussels) is connected to the high speed train network connecting the UK (www.eurostar.com), France, Germany and the Netherlands (www.thalys.com). These trains arrive at Brussel Zuid/Bruxelles Midi station. Change to a train to Namur (www.b-rail.be). In Namur a Belgian presidency shuttle bus will take you to the hotel.
- Brussels Airport (BRU - www.brusselsairport.be) is 70 km from Namur. Take a train from the airport station (level minus 1) to Bruxelles Nord/Brussel Noord (4 direct trains to Brussels every hour). Change to a train to Namur (www.b-rail.be). In Namur a Belgian presidency shuttle bus will take you to the hotel.
- Charleroi Brussels South Airport (CRL - www.charleroi-airport.com) is 50 km from Namur. Take the TEC public bus to Charleroi Sud railway station. From there, take a train to Namur (www.b-rail.be). In Namur Belgian presidency a shuttle bus will take you to the hotel.
Welcome desks will be waiting for you in both airports and in Namur train station.
Visa for Belgium
- No visa is required when travelling to Belgium from Schengen countries.
- If you need a visa for Belgium/Schengen, do apply for a visa at your nearest Belgian Embassy or consulate no later than one month before departure. If you require an invitation letter to obtain your visa, mention it clearly in your registration form and contact: sara.lebriand@cfwb.be
Insurance
- All participants, contributors and speakers will be insured by the organiser for physical injuries and accidents brought upon by or to a third party.
- Loss or theft of luggage or personal belongings will however not be insured by the organisers. We strongly recommend you to take an overall assistance-insurance for the duration of your stay.
